Your first invoice, step by step
Set up your profile, verify your number, then prepare your document.

Set up your business

Create your account with your WhatsApp number. Add your contact details, logo, IBAN and invoice settings in your profile.

Verify your WhatsApp number

Your first message to the bot is a code: on your profile, tap “Get a code”, then “Open WhatsApp and send the code”. The bot replies “Number verified” and your account is active. Once only.

Describe, check, send

Write the client’s name, services and prices. Follow the instructions in WhatsApp, check the document, then send it to your client.

WhatsApp and your web workspace
Two ways to manage the same business: create documents on WhatsApp, organise their follow-up on the website.

Create an invoice
A useful message includes the client, service, quantity and price.
Single service
Format: Invoice for (client), (service) (hours)h at (price) CHF
Facture pour Jean Dupont, plomberie 3h à 80 CHF
3 × CHF 80 = CHF 240 for the services, before any VAT configured in your profile.
Multiple services
Format: Invoice for (client), (service1), (service2), ...
Facture pour Marie Martin, plomberie 3h à 50 CHF, nettoyage 4h à 50 CHF, linge 4h à 25 CHF
Three service lines: 150 + 200 + 100 = CHF 450 before any VAT.
Flat-rate invoice (no hours)
Format: Invoice for (client), (service) (price) CHF
Facture pour Pierre Blanc, création site web 3000 CHF
One fixed-price service at CHF 3,000, before any VAT.

For a clear result: specify prices and quantities. Check services, amounts and contact details before sending.

Prepare a quote
Same syntax as an invoice, just replace "Invoice" with "Quote".
Simple or multi-service quote
Format: Quote for (client), (service) (hours)h at (price) CHF
Devis pour Sophie Laurent, rénovation cuisine 5000 CHF, peinture 2000 CHF
→ Generates a quote PDF (without payment QR code)

Remember: a quote presents your proposal without a payment QR. An invoice in CHF or EUR can include a Swiss payment QR.

Body shops & garages
Bill repairs directly to the insurance company: your customer (the insured) appears on the invoice, but the payment QR is in the insurer's name.
Invoice with a claim number
Format: Invoice for (customer), claim (no.), insurance (name), (repair) (price)
Facture à Jean Dupont, sinistre 12345, assurance AXA, réparation carrosserie 2500.-
→ The claim number appears on the service line and the QR is payable by AXA
With client numbers or addresses in the message
Customer and insurer already saved? Use their numbers (type "clients" on WhatsApp to see them). Or write the addresses directly in the message:
Facture à 1, sinistre 12345, assurance 3, réparation carrosserie 2500.- Facture à Jean Dupont Rue du Rhône 5 1950 Sion, sinistre 12345, assurance AXA General-Guisan-Strasse 40 8400 Winterthur, réparation carrosserie 2500.-
→ The address typed for the insurer is used for the QR and updates its client record
Amount not yet approved by the insurer
Simply leave out the amount:
Facture à Jean Dupont, sinistre 12345, assurance AXA, remplacement pare-brise
→ QR without amount (allowed by the Swiss standard) + note "Amount subject to acceptance by the insurance company"
Manage insurance addresses
The main Swiss insurers (AXA, Zurich, Mobilière, Allianz, Baloise, Helvetia, Generali, Vaudoise) are pre-filled with their head-office address:
assurances assurance AXA, General-Guisan-Strasse 40, 8400 Winterthur
→ "assurances" shows the list; "assurance NAME, address, ZIP city" edits or adds an insurer (also possible from My clients)

💡 Tip: check a pre-filled insurer's address the first time you use it. Every insurer you use is saved in "My clients" and can be edited at any time.

Already using Bexio?

Connect your account from your profile, then enable invoice creation in Bexio.

The current workflow creates drafts for CHF invoices with a profile VAT rate of 8.1%. Check the draft in Bexio before sending it.

For quotes, other currencies, other VAT rates or insurance cases, choose the JustBillItt PDF workflow in your profile.

Change the language of an existing PDF
Format: fr / de / en / al followed by invoice number

Track documents and payments

Do I need to install an app?

No. Everything happens on WhatsApp (which you already have) and on the website. Nothing to download.

How does my client pay the invoice?

They scan the Swiss QR code at the bottom of the invoice with their banking app: the amount and your IBAN are filled in automatically.

Where can I find information about my data?

Read the privacy policy for data processing and providers, and the Security page for account guidance.

Can I edit an invoice after creating it?

An issued document keeps its original details. You can download the PDF, create a translation or update its payment status. For content corrections, contact support before replacing it.

Does a quote also have a QR code?

No. Only invoices have a payment QR. A quote is a proposal, not yet payable.

What happens if I reach my invoice limit?

New documents are paused once the allowance is used up. Choose a suitable plan from your profile or wait for your allowance to renew. Invoices and quotes share the allowance.

In which languages can I invoice?

In French, German, English and Albanian. The PDF is generated in the language you choose.
